2. Why we process personal data, the legal basis, which personal data we process, and the retention period
2.1 Clients or client representatives, as well as potential clients
Purpose: To manage orders/purchases from clients, as well as respond to inquiries from potential clients and participate in procurements and pitches.
Processing activities: We process contact details in order to carry out an order made by a client. Where contact details are used, this includes, for example, maintaining ongoing communication with the client’s contact persons through various channels (telephone, email, chat, video conferencing, or similar). Personal data is also required to manage quotations, deliveries (including handling shipping documents, notifications, and delivery-related contacts), identification of clients, handling payments, address verification with credit agencies, as well as handling complaints and warranty matters.
Categories of personal data: Organization number, contact details (such as address, email, and telephone number), payment information, purchase information (e.g. which service has been ordered and production follow-up).
Sources from which we collect personal data: Client, potential client, client representatives, references, credit agencies.
Legal basis: Performance of a contract. This collection of personal data is necessary for us to fulfill our obligations under the agreement. If the data is not provided, our obligations cannot be fulfilled, and we may need to decline the assignment.
Automated decision-making: Our processing of personal data does not involve decisions based on automated processing.
Retention period: Personal data is stored until the delivery has been completed (including payment) and for a period of 36 months thereafter for the purpose of handling any complaints, warranty matters, or additional orders. Personal data necessary for fulfilling Alour Agency’s legal obligations under laws, court decisions, or authority requirements (for example accounting legislation) is stored due to legal obligations until delivery and payment have been completed and for a period of up to an additional 7 years.
3. Recipients of personal data and transfers outside the EU/EEA
As a data controller, we may instruct a partner or supplier to carry out the processing specified above, for example IT providers, providers of analytics tools, advertisers, etc. Such processing will not be carried out for any purpose other than those stated.
